Is Spruce Health HIPAA Compliant? A Staff Communication Alternative

Spruce Health is built for healthcare practices, and its BAA availability, plan tiers and current terms should be confirmed directly with Spruce. Whether that BAA covers its messaging, phone and other features is the detail to confirm on Spruce's own documentation before you approve it. Spruce leads with patient communication. Chanty is internal team chat and work coordination for staff, with a signed BAA available from the Business plan. This page answers the Spruce question first. It then explains whether your practice needs a patient communication tool, a staff workspace, or both.

Vendor details on this page should be checked against each vendor's current documentation before you decide.

Is Spruce Health HIPAA compliant? The short answer

  • BAA availability: Confirm with Spruce whether a BAA is offered and on which plans.
  • What the BAA covers: Ask which features it covers, including patient messaging, team chat, phone/VoIP, voicemail, fax and integrations.
  • Where to confirm: Spruce's own security and HIPAA documentation, for the current terms.

No tool is "HIPAA certified." HHS does not issue an official HIPAA certification. When a vendor creates, receives, maintains or transmits PHI for a practice, HIPAA requires a business associate agreement. Compliance then depends on two things: a signed BAA, and how the practice configures and uses the tool. Roles, access, offboarding, devices and staff training all count.

The same test applies to every vendor on your shortlist. To see how other team chat tools handle this, compare HIPAA team chat tools. For specific examples, see whether Google Chat is HIPAA compliant and how Signal, iMessage and GroupMe handle HIPAA.

What Spruce is built for vs. what Chanty is built for

Spruce is positioned around patient communication. Per its positioning, it also offers team chat, phone and fax for independent practices. A practice that wants patients to text the office or wants a practice phone line is looking at the core of what Spruce does.

Chanty does a different job. It is internal team communication for staff. Chats, calls, announcements, files and assigned tasks sit in one workspace, so everyday operational work ends with a clear owner, deadline and follow-up.

Chanty does not:

  • message patients
  • provide phone numbers or fax
  • replace an EHR, scheduling or billing system

It runs alongside your existing clinical systems. It is for operational and administrative coordination, not clinical handoffs, alerts or documentation.

So the real buying question is which job you need solved: patient conversations, staff coordination, or both.

How HIPAA and the BAA work in Chanty

BAA by plan:

  • Business: HIPAA compliance with a signed BAA. The BAA covers all data in the team space: messages, files, voice notes, tasks and Teambook.
  • Enterprise: BAA plus a negotiated MSA.
  • Free: no BAA. Do not use it for PHI.

Security controls:

  • Encryption in transit with TLS 1.2+
  • Encrypted file storage
  • 2FA, SSO and IP allowlisting on Business
  • SAML SSO, directory sync and SCIM on Enterprise
  • Customizable roles and retention settings on Business and Enterprise, with 120+ permission settings

Chanty is not end-to-end encrypted, and this page does not claim it is.

Shared responsibility. Chanty supports HIPAA compliance under a signed BAA. It does not make a practice compliant on its own. Your practice is responsible for:

  • configuring roles and permissions
  • signing the BAA before anyone shares PHI
  • removing access when staff leave
  • securing the phones and computers staff use
  • setting policies and training staff

What sits outside the BAA. Third-party integrations, such as Google Drive or Zapier, are outside Chanty's BAA scope. AI agents are available only on the Enterprise plan. BAA coverage of agent processing and external AI models is not documented, so keep PHI out of agents and integrations unless your agreement confirms coverage.

Full detail is on Chanty security, HIPAA and BAA details.

Where Chanty fits in a practice

Front desk and admin coordination. A front desk coordinator posts "Check-in card reader is down at the second window." Instead of that message scrolling away in a group text, it becomes a task with an owner, a due date and a status. The office manager sees it on the Kanban board until it's closed.

Multi-location groups. Shared files and procedures, such as the updated intake checklist or holiday coverage plan, sit in one place every site can find. Team channels per location plus pinned updates mean a policy change posted once reaches every clinic. Searchable history means nobody has to ask "where was that posted?"

Operations, HR and IT requests. Clinic staff send requests to the operations, HR or IT team in a dedicated channel, and each request gets an owner. Routine check-ins happen on calls inside the workspace. On Business, group calls and screen sharing cover walking a new hire through a back-office process.

Getting staff off personal messengers. Many practices run on WhatsApp or SMS groups the practice doesn't control. Chanty's interface feels like a familiar messenger, so front desk and deskless staff need little training. Access, roles and offboarding stay with the practice. When Spruce is the better fit, and when to use both

Choose a patient communication tool like Spruce if your main need is patient texting, a practice phone line or fax. Spruce is designed for that job. Chanty is not, and it does not replace Spruce for patient communication.

Choose Chanty if your need is staff coordination across roles, shifts and locations, with tasks that don't get lost.

Use both if you need both jobs done. Many practices may run a patient communication tool and an internal staff workspace side by side. Keep each within its BAA scope. Patient conversations stay in the patient tool. Staff requests, announcements and follow-ups stay in the staff workspace. Chanty does not integrate with Spruce, so each tool works on its own.

Chanty's limits:

  • Task management is basic: lists and Kanban, not complex project management.
  • The native integration catalog is smaller than Slack's or Teams'. Zapier, Make and n8n extend it.
  • There is no shift scheduling, time tracking or HR functionality.

Questions to ask any vendor before signing a BAA

  1. Plans and scope. Which plans include a BAA? Which features and data types does it cover?
  2. Edge features. Are phone, voicemail, fax, integrations and AI features inside or outside the BAA?
  3. Access controls. Which controls exist, such as SSO, 2FA, roles and retention? On which plans?
  4. Shared responsibility. Who handles configuration, offboarding and device security? Put the answer in writing.

Ask Spruce, Chanty and every other vendor these questions in the same way. Compare the answers line by line.

Try Chanty for staff communication

  1. Start at chanty.com/signup.
  2. Choose the Business plan and sign the BAA before anyone shares PHI.
  3. Pilot with one location's front desk and operations team. Create a channel for announcements and one for internal requests. Convert every follow-up into a task with an owner and a due date. After a few weeks, check how many requests were closed versus lost.

For checklists and process guides to set up the pilot, browse the operations library for practice managers.

FAQ

Is Spruce Health HIPAA compliant?

Spruce is built for healthcare practices, but its BAA status and plan tiers should be confirmed directly with Spruce before you approve it. No vendor can be HIPAA certified. Does Spruce Health sign a BAA for messaging and phone?

BAA scope by feature, including patient messaging, phone/VoIP, voicemail and fax, should come from Spruce's current documentation. Ask Spruce directly which features and plans the BAA covers.

Is Chanty a replacement for Spruce?

Not for patient communication. Chanty is internal staff chat and work coordination. If your practice uses Spruce for patients and personal messengers or email for staff, Chanty can replace the staff side.

Can Chanty be used to message patients?

No. Chanty is for staff communication only. Use a dedicated patient communication tool for patient conversations.

Which Chanty plans include a signed BAA?

Business includes a signed BAA. Enterprise includes a BAA and a negotiated MSA. The Free plan has no BAA.

Can we use the Chanty Free plan for PHI?

No. The Free plan has no BAA, so PHI should not be stored on it. Upgrade to Business and sign the BAA first.

Does Chanty offer phone numbers or fax?

No. Chanty provides calls between staff inside the workspace. It does not provide practice phone numbers or fax.

Are Chanty integrations and AI agents covered by the BAA?
