Dental office communication: light systems, team chat, and what each one is for

A dental office communication light system sends silent, instant signals from the operatory, such as "doctor needed" or "hygiene check ready," without anyone picking up a phone. It does that one job well. Most of an office's daily coordination happens somewhere else: front desk handoffs, supply requests, schedule changes, announcements and follow-ups. Chanty is a staff chat and task workspace for that second category. It is not a chairside signaling system and doesn't replace one. Keep the lights for in-the-moment chairside signals, and use Chanty for work that needs an owner, a deadline or a record.

What a dental office communication light system does

A light system is a set of buttons mounted on the wall or chair, connected to colored lights or tones in hallways, the sterilization area, the lab or the doctor's office. A team member presses a button in an operatory, and a light or tone tells the rest of the team what that room needs. Signals vary by system and office setup. Examples include:

  • Doctor needed in the room
  • Assistant needed
  • Hygiene exam ready
  • Room ready to turn over or be cleaned

Why offices use them: the signal is silent and instant. Nobody needs a phone in hand, and an assistant can call for help mid-procedure with one press.

Typical limits: most systems are one-way and status-only. A light says that a room needs something, not what or why. There is usually no record of who responded or what was decided. In a typical setup, the signal also doesn't reach staff who are off the floor, out of the building or at another location. Capabilities vary by model, so check what a specific system offers.

If you're buying or replacing one, the main considerations are wired versus wireless installation, the number of distinct signals you need, how many rooms and stations it must cover, and total cost, including installation. Many offices keep a system for years because it does one simple job reliably.

What light systems don't cover: the rest of the office's communication

A light can't tell the office manager that a patient's insurance needs a call back before 3 p.m. Much of a dental office's coordination needs words, an owner and a follow-up:

  • Front desk to back office: a patient running 20 minutes late, a schedule change, an insurance question for the office manager.
  • Operations: low gloves or impression material, a lab case that hasn't come back, a compressor making noise, a printer down, sterilization area needs.
  • Staff-wide: policy updates, holiday schedules, huddle notes, onboarding a new hygienist.

Today, most of this lands in a personal text group, WhatsApp, sticky notes on the monitor, hallway conversations, email threads or a spreadsheet nobody updates. The practical problem: nothing has a clear owner, and history is scattered across personal phones. The compliance problem: a personal text group or messenger generally has no business associate agreement in place with the practice, so it isn't an appropriate place for patient information.

Move staff chat off personal phones

Chats, calls, announcements and assigned tasks for clinic staff in one workspace. HIPAA-compliant with a signed BAA on the Business and Enterprise plans.

The Free plan has no BAA: do not use it for protected health information.

Where Chanty fits: team chat for dental office staff

Chanty is internal staff chat and work coordination. It runs alongside your light system, practice management software and imaging, and replaces none of them. For a broader look at the product, see HIPAA-compliant chat for staff.

  • Channels by role or area: front desk, hygiene, assistants, office management, plus one-on-one messages and threads. Message history is unlimited and searchable, including on the Free plan.
  • Messages become tasks: turn any message into a task with an owner and due date in one click, then track it on a Kanban board. "Reorder 2% chlorhexidine" or "Call the lab about the Thursday crown" stops being a sticky note.
  • Announcements and pinned messages: pin the new sterilization checklist or next week's schedule change where everyone sees it. Teambook gathers tasks, files, links and pinned messages in one place.
  • Voice and calls: send a voice note when typing isn't practical, or start an audio or video call. 1:1 calls are unlimited on Free. Group calls and screen sharing come with Business.
  • Apps everywhere: iOS, Android, macOS, Windows and web. The interface works like WhatsApp, so staff need little training.

Example: a day of coordination in a dental office

This is an operational example, not a clinical alerting or handoff workflow.

  • 7:45 a.m. The office manager posts huddle notes in the #today channel and pins them: two hygiene openings, one doctor running late from a CE course, the new intraoral scanner in operatory 3.
  • 9:10 a.m. The front desk posts that an afternoon patient rescheduled. The office manager replies, turns the message into a task ("Fill 2:00 hygiene slot from the ASAP list"), assigns it to the scheduling coordinator and sets a due date of noon.
  • 10:30 a.m. An assistant notices the last box of medium gloves in sterilization and drops a voice note in #supplies. It becomes a task with an owner, and the office manager sees it on the board instead of finding a sticky note on Friday.
  • 1:15 p.m. A question about a lab case goes in a thread tagged to the person who manages lab orders. The answer and the lab's reply date stay in that thread for anyone who picks it up later.
  • All day: chairside requests like "doctor needed" stay on the light system. Chanty doesn't signal operatories and isn't used for urgent clinical needs.

Any message that includes patient information belongs on Business or Enterprise with a signed BAA.

Multi-location dental groups

When you run three offices, the gaps grow. A light system covers one building. Coordination across sites needs something shared.

  • Location and shared channels: #downtown-frontdesk, #eastside-frontdesk, and a group-wide #all-offices for updates everyone needs.
  • One version of every procedure: shared files and pinned documents mean every office works from the same infection control checklist or new-patient intake steps.
  • Work tracked across sites: assign a task to the eastside office manager from headquarters. Managers can see what is open and who owns it.
  • Guest access: invite outside parties such as a supply vendor, an IT contractor or a billing service as guests limited to selected conversations. Business includes 3 free guest seats per paid member.
  • Internal communications tools (Business and Enterprise): company-wide announcements, scheduled posts, polls and surveys, an employee directory and onboarding.

HIPAA, BAA and security for dental practices

Chanty supports HIPAA compliance with a signed BAA on the Business and Enterprise plans, covering all data in the team space: messages, files, voice notes, tasks and Teambook. The Free plan has no BAA, so PHI should not be shared on it.

A tool doesn't make an office compliant by itself. Under shared responsibility, the practice:

  • Signs the BAA before any PHI is shared
  • Configures roles and permissions
  • Manages user access and offboarding when staff leave
  • Secures devices, including personal phones used for work
  • Sets staff policies and trains the team

Controls available:

Control Plans
Encryption in transit (TLS 1.2+) and encrypted file storage All plans
Roles and permissions (120+ settings), 2FA, SSO, IP allowlisting Business, Enterprise
SAML SSO, directory sync and SCIM, DLP and governance controls Enterprise

Third-party integrations are outside Chanty's BAA scope. AI agents are available on Enterprise only and fall outside the standard BAA; using them with PHI requires a separate written agreement covering the models you connect.

Full details and certifications are in security, HIPAA and BAA details.

What Chanty is not, and when it may not fit

  • Chanty is not a chairside light or paging system, clinical alerting, patient messaging, a recall or reminder tool, telehealth, practice management software or an EHR.
  • It has no built-in shift scheduling, time tracking or HR functions.
  • Task management is basic (list and Kanban). It isn't built for complex projects.
  • The native integration catalog is smaller than Slack's or Teams'. Zapier, Make and n8n extend it. Chanty doesn't list any native integrations with dental practice management or imaging software.
  • Offices fully standardized on Microsoft 365 may prefer Teams. You can compare team chat tools on HIPAA before deciding.

Getting started

  1. Start with one location. Create channels by role (front desk, hygiene, assistants, management), pin your core office procedures, and move the staff text group over in one planned week.
  2. Choose Business before any PHI is shared, and sign the BAA.
  3. Use Free only for a trial. It supports up to 5 members, 10 integrations and 20 GB per team. No PHI.
  4. Use the resources. The operations library for practice managers covers office workflows, and the free HIPAA tools and templates help with policies and checklists. Other setups are listed under solutions by practice type. Related guides cover team communication for therapy group practices, team communication for physical therapy practices and a team communication app for home care agencies.

FAQ

Does Chanty replace a dental office light communication system?

No. Light systems handle silent, instant chairside signals. Chanty handles staff chat, tasks, announcements and files alongside them.

Can dental staff use Chanty for urgent clinical alerts?

No. Chanty is for operational and administrative coordination, not clinical alerting, clinical handoffs or documentation.

Is Chanty HIPAA compliant for dental offices?

Chanty supports HIPAA compliance with a signed BAA on the Business and Enterprise plans. The practice is still responsible for configuration, access management, device security and staff policies.

Can we share patient information on the Free plan?

No. The Free plan has no BAA, so PHI should not be shared there.

Does Chanty work across multiple dental locations?

Yes. Use location channels and shared channels, shared files and procedures, and tasks assigned across sites.

Does Chanty integrate with dental practice management software?

Don't assume a direct connection. Current integrations are listed on the features page, and Chanty doesn't list a native integration with dental practice management or imaging software. Integrations also fall outside Chanty's BAA scope.

Can vendors or outside IT have access?

Yes, as guests limited to selected conversations. Keep guests out of channels where patient information is discussed.
